Meeting Prep That Leaves Room for Judgment

A short workflow note on getting ready for a client review without turning the first ten minutes into a scavenger hunt.

Many review meetings lose their opening minutes to reconstruction. Which statements arrived. Whether last quarter’s holdings still match. What changed in registration. That work is necessary, and it is not the conversation the client came for.

A useful prep habit is to sort the file into three piles before anyone sits down. The piles are operational, not a recommendation framework. They simply keep facts, unanswered items, and discussion space from collapsing into one stack of paper.

Three piles before the meeting

Confirmed facts
Holdings, account types, and as-of dates you have already checked. If a figure is still unverified, it does not belong in this pile.
Open questions
Items that still need the client’s context: a transfer in flight, a beneficiary update, a goal that has shifted. These are prompts for the room, not answers to invent in advance.
Conversation space
The two or three themes you actually intend to walk through. Leaving this pile small is the point: prep should make room for judgment, not crowd it out.

When the piles stay mixed, the review becomes a hunt for the next number. When they stay separate, the advisor can stay in the room: listening, deciding what matters, and choosing what to say.
